Our corporate teams have been working with the Ministry of Foreign Affairs and International Cooperation (MFAIC) in Tanzania for the past decade. The ministry handles all of the VIP travel as well as the ministerial’s official travel requirements. MFAIC has a large volume of travel involving frequent international travel and VIP delegations. FCm currently manages all aspects of MFAIC’s travel including flights, hotel accommodation and airport transfers.

Here’s how we made it possible…

Tanzania’s Ministry of Foreign Affairs and International Cooperation (MFAIC) has dramatically reduced the cost of ministerial travel with dedicated account management from FCm and more strategic booking and payment processes.

The challenges

Continual and often last minute itinerary changes were creating challenges for MFAIC across the booking, billing and payment processes. Additional charges incurred from frequent itinerary changes were increasing the overall cost of travel and a large portion of time was being spent on expense reconciliation.

Our solutions

FCm Tanzania introduced its Exclusive Partnership Agreement, which taps into a host of global travel industry partners that offer different travel management services to corporate clientele. This partnership was a successful initiative in helping MFAIC to leverage its travel volume and secure competitive deals with suppliers.

As part of the agreement, FCm Tanzania met with the ministry’s protocol officials that are responsible for managing government travel to address appropriate solutions.

FCm has introduced the following initiatives:

  • Dedicated 24/7 account management: this has opened the lines of communication between government travel bookers and their FCm account manager. This guidance and dedicated approach to servicing has helped to reduce last minute booking requests. A positive change in booking behaviour has ensured bookings are now made as early as possible, which has helped the ministry to benefit from more low cost fares.
  • Account financial management: the ministry now has designated staff to handle payment procedures, which has seen payments finalised on time and a more streamlined reconciliation process.
  • Travel consultations: regular pre-travel consultation with protocol officials and the ministry’s accounts personnel has helped to better manage travel challenges and educate protocol officials on how to overcome unforeseen issues.

The results

The ministry has achieved significant cost and time savings as a result of the program initiatives. In addition protocol officers and FCm’s accounts department are highly satisfied with the current process. Between 2012 and 2013 FCm helped MFAIC save over $96,400 on travel.
